The highlights of the report are project objectives, key deliverables, project timeline, challenges faced, achievements, and recommendations for future projects. The project closure report template summarises the PPM implementation project and provides a high-level overview of the key aspects of the project.

Components Of Project Closure Report Template

1. Key Project Objectives: It analyses the project objectives defined in the business case vs achieved.

It has 3 main parts:

  • Objective - Defines the business objective to be achieved in the project. The business objectives are predefined by the managers, the key stakeholders and the beneficial parties of the project. The are designed keeping in mind the exact requirement of the business.

  • Status - Gives the status of the objective, whether it has been fully achieved or partially achieved in the project. Fully achieved status represents that the business objective was achieved within the budget allocated and the resources. Partially achieved status tells that the goal hasn’t fully attained. It might have lot of reasons which are specified in the notes column.

  • Notes - This section gives us an explanation to why the key objective was fully achieved or partially achieved in the project. This can give a brief to what the project is lacking and what needs to be improved going forward.

2. Key Project Deliverables: Key Project Deliverables can be defined as the outcomes or results achieved by the project. It has the name of the outcome, the version it is present in, and the date when that version was accepted. It is an important component of the project closure report template as it tells us about the desired outcomes, by considering which the project team can decide to come to the closure.

3. Key Performance Indicators: These compare the main project performance indicators against the dates or baseline. 

There are 3 Key performance indicators:

  • Timescales: They have the indicator, the baseline, the actual date the project has taken, its variance and the reason for the delay. The baseline should be considered as the important part in timescales as it helps to compare the variances and also helps to define how successful project outcomes can be achieved.

  • Financials: They have the key items on which the funding is needed, how much the budget is, the actual amount spent on it in the project, the variance and its specified reason for variance.

  • Customer Satisfaction: End-to-end review sessions is done with key stakeholders and the deliverables acceptance log, the impacted stakeholder groups state their satisfaction with the solution, and although future improvements are in the roadmap for next year, they are happy about the project completion as per specifications.

4. Key Achievements: All the key achievements will be listed that support the project closure.

Some of them are as follows:

  • Successful PPM system implementation within the scheduled timeframe and allocated budget. It can be considered as the most important key achievement as the timeframe defines the determination and commitment of the project team.

  • Integration with existing systems, ensuring minimal disruption to project operations & smooth data migration.      

  • Improvement in the utilisation of resources and their allocation, resulting in optimized project performance. Utilisation of resources must be observed carefully as it might affect the project’s success making it partially incomplete which might hinder the outcome of other key objectives as well.

  • Through real-time access to project data and performance metrics, decision-making capabilities are enhanced.

  • Promoting consistency and efficiency across the organisation through standardised project management processes and practices.

5. Key Challenges: The main challenges experienced during the project is outlined and it provides learnings for future projects.

Some Challenges are listed below:

  • Hindering of decision-making processes due to limited availability of key stakeholders in the requirement gathering.

  • The budget allocated will not be sufficient to achieve all the Key project objectives, as some might go higher in variance and will also have a precise explanation.

  • Going out of resources and having backups might be necessary.

  • Technical complexities arising during the system integration and customization.

  • Resistance to change from some project teams, requiring additional efforts in change management and training.

  • Team members of the project not co-operating and causing conflict of opinion.

  • Unsatisfactory outcomes and failures in certain key project objectives.
