What Are The 4 Levels of Prioritizing Tasks?

Step 1: Think of what is currently important to your business to come up with appropriate criteria.

  • Two criteria are enough for a fast and simple prioritisation. 

  • Yet, they aren’t enough for complex projects where you must consider and juggle multiple stages of user behaviour or business objectives. 

  • Estimate all the vital elements for the product and just filter the matrix by the criteria we need more focus on at some point in time.

Step 2: Decide on the score range.

  • Each criterion should be evaluated by the same numbers with prescribed interpretation. 

  • We use numbers from 

a) 0 to 3 where 0—no impact, 

b) 1—low impact, 

c) 2—medium impact, 

d) 3—high impact.

  • High-impact, low-effort tasks are typically the most desirable. They offer significant benefits or positive outcomes with relatively little effort. These tasks should be prioritized and tackled first.

  • For instance, updating a company website to include a new client testimonial falls into this category. It serves to attract potential customers with minimal resources required.

2. High Impact and High Effort

  • Tasks in this quadrant are important and can lead to substantial benefits, but they require considerable effort and resources. These activities should be planned carefully and executed after the low-effort, high-impact tasks.

3. Low Impact and Low Effort

  • These are easy-to-carry-out tasks that offer minimal benefits. They should be delegated to others or completed when there's free time.

4. Low Impact and High Effort

  • Activities in this quadrant are the least desirable. They require significant effort but provide little benefit. These tasks should be reconsidered, minimized, or eliminated if possible.
